Paramount Recruitment Ltd is a recruitment business which provides work-finding services to its clients and work-seekers. Paramount Recruitment Ltd must process personal data (including sensitive personal data) so that it can provide these services – in doing so, we act as a data controller.

You may supply your personal details to Paramount Recruitment directly, such as by email, by phone, on an application or registration form, via our website, or we may collect your details from other public sources such as job boards or LinkedIn. Paramount Recruitment must have a legal basis for processing your personal data. For the purposes of providing you with work-finding services and/or information relating to roles relevant to you, we will only use your personal data in accordance with the terms of the following statement.

1. Collection and use of personal data

a. Purpose of processing and legal basis

Paramount Recruitment Ltd will collect and process your personal data (which may include sensitive personal data) for the purposes of providing you with work-finding services. This includes for example, contacting you about job opportunities, assessing your suitability for those opportunities, updating our database, putting you forward to job opportunities, arranging payments to you and developing and managing our services and relationship with you and our clients.

The legal bases we rely upon to offer these services to you are:

  • Your consent
  • Where we have a legitimate interest
  • To comply with a legal obligation which we have
  • To fulfil a contractual obligation which we have with you.

b. Legitimate interest

This is where Paramount Recruitment has a legitimate reason to process your data provided it is reasonable and does not go against what you would reasonably expect from us.  Where we have relied on a legitimate interest to process your personal data, our legitimate interests are as follows:

  • Managing our database and keeping work-seeker records up to date;
  • Communicating with you and identifying suitable opportunities for you;
  • Providing work finding services, including sending your information to our clients where you have expressed an interest in the role and organisation;
  • Keeping a record of completed work-finding services;
  • Checking identity, confirming a right to work and verifying qualifications;
  • Processing payments to you;
  • Sending relevant industry information and requesting participation in surveys;
  • Fulfilling our obligations to our clients.

c. Recipients of data

Paramount Recruitment will process your data with the following recipients:

  • Clients that you have authorised us (either verbally or in writing) to share your CV with, for the purposes of securing an introduction.
  • Former employers or contacts that you have authorized us to seek references from and/or prospective new employers to whom you have authorized us to pass the references.
  • Umbrella companies with which you have authorised us to share your details.
  • Other master/neutral vendors in our supply chain.
  • HMRC for intermediary reporting purposes.
  • Our payroll company, if we employ you directly.
  • Our IT and CRM providers.
  • Other companies/individuals with which you have asked us to share your information.

d. Statutory/contractual requirement

When your personal data is required by law, is a contractual requirement (e.g. our client may require this personal data) or is a requirement necessary to enter into a contract. You are obliged to provide the personal data and if you do not the consequences of failure to provide the data are:

  • Paramount Recruitment and its’ consultants being unable to provide work finding services.

2. Overseas Transfers

With your consent, Paramount Recruitment may transfer the information you provide to us to countries outside the European Economic Area (‘EEA’) only for the purposes of providing you with work-finding services. We will take steps to ensure adequate protections are in place to ensure the security of your information. The EEA comprises the EU member states plus Norway, Iceland and Liechtenstein.

3. Data retention

Under normal circumstances, Paramount Recruitment will keep your personal details on our database for up to three years. However, different laws require us to keep different data for different periods of time.

The Conduct of Employment Agencies and Employment Businesses Regulations 2003, require us to keep work-seeker records for at least one year from (a) the date of their creation or (b) after the date on which we last provide you with work-finding services.

We must also keep your payroll records, holiday pay, sick pay and pensions auto-enrolment records for as long as is legally required by HMRC and associated national minimum wage, social security and tax legislation.

Upon expiry of the three years or the period that we are legally obliged to retain your data, we will contact you to confirm whether the data that we hold is accurate, that the purposes for holding it still exist and to gain additional consent from you to hold and process your data. Where consent is not granted the Company will cease to hold and process your personal data.

4. Online Security

Paramount Recruitment Ltd takes every precaution to protect the information that we hold and process. Only employees who need the information to perform a specific job are granted access to your information. We have solid IT security systems in place to protect your personal data. We use all reasonable efforts to safeguard your personal information. However, you should be aware that the use of the Internet is not entirely secure and for this reason, we cannot guarantee the security or integrity of any personal information which is transferred from you or to you via the Internet.

5. Your rights

Please be aware that you have the following data protection rights under GDPR:

  • The right to be informed about the personal data the Company processes on y ou;
  • The right of access to the personal data the Company processes on you;
  • The right to rectification of your personal data;
  • The right to erasure of your personal data in certain circumstances;
  • The right to restrict processing of your personal data;
  • The right to data portability in certain circumstances;
  • The right to object to the processing of your personal data that was based on a public or legitimate interest;
  • The right not to be subjected to automated decision making and profiling; and
  • The right to withdraw consent at any time.

If you no longer wish for Paramount Recruitment to process your data, then please also email info@pararecruit.com Your personal details will then be permanently deleted from our systems.

You also have the right to raise concerns with the Information Commissioner’s Office on 0303 123 1113 or at https://ico.org.uk/concerns/, or any other relevant supervisory authority should your personal data be processed outside of the UK, if you believe that your data protection rights have not been adhered to.
